Meetings are easy and minutes are hard to write. A good meeting minutes can promote the landing of work, and if it is not written well, it will become a “record book”. This document clarifies the format, writing, and examples of the minutes once, and the full version of Word can be printed and applied.
The biggest mistake in meeting minutes is to use “record” as “minutes” – to write down what everyone said. Really qualified minutes, only “agreed matters” and “action items” are retained, so that people can know “what to do, who to do, and when to complete”.
I. The core of the minutes is “agreed matters”
A good summary, 80% of the length should be “meeting decision/request/clear” content, not the record of speech. Writing: “The meeting is clear, XX project is in charge of XX, and XX will be completed by XX”. Each agreement is accompanied by a responsibility and a time limit.
II. Classification by topic
If the meeting discusses three topics, the minutes are written in three parts, each part writing the background (why the discussion), and then writing the conclusions (agreed matters). Do not take notes in the order in which you speak.
III. Language Qualifications
The summary language is objective, accurate, and concise, using normative expressions such as “The meeting listened to…”, “The meeting studied…”, “The meeting agreed to…”, and “The meeting was clear…”. Do not include the writer’s comments and guesses.
IV. Statute of limitations is important
The meeting minutes are time-sensitive, and are completed and sent within 24 hours of the meeting, otherwise the heat and execution of the meeting will decrease. Important meeting minutes must also be approved by the moderator.
